In a work manual or step-by-step guide, illustrations are not decoration. They show what to do at a glance and reduce mistakes. Here is how to use them well when writing manuals.
One step, one illustration
The basic rule for procedures is one illustration per step. With a picture beside each numbered step, readers can follow the flow without reading every word. Try to show several steps in one picture and it becomes unclear which action belongs to which step.
Actions versus tools
Illustrations fall into two broad groups: actions, showing a person doing something, and tools, showing objects on their own.
- Action illustrations show what to do — for example, stamping a document or weighing a package
- Tool illustrations show what to use or prepare — for example, a checklist of supplies or where equipment is kept
Use tools for “what you need” lists and actions for the steps, and the structure of the manual becomes easy to follow.
Say the same thing in words and pictures
An illustration supports the text; it does not replace it. When “Stamp the bottom right of the form” sits next to a picture of someone stamping a form, readers can confirm the same point twice. Putting important information only in the picture — or only in the text — invites mistakes.
Make cautions stand out with color and placement
For steps where errors are risky, set them apart: change the illustration’s line color to your warning color (a red tone, for example) or place it inside a caution box. Highlight only what truly matters — if every step is emphasized, nothing is.
Reuse the same illustration for the same action
If the same action appears several times in a manual, use the same illustration every time. Readers learn that “this picture means this task,” so later steps are understood at a glance. A similar but different picture makes them wonder whether it is a different task.
